Delta Academics

How Delta uses your information

Approved by the company's solicitor, 28 September 2026; party details updated 28 September 2026; the additions and settled points of 6 October 2026 approved by the company's solicitor that day; the changes of 22 October 2026 published on the founder's own approval and sent to the company's solicitor for review. Prepared 28 September 2026 from the code and docs/DATA_PROCESSING_RECORD.md; brought up to date on 7 October 2026 with the solicitor's approved wording of 6 October 2026; and on 22 October 2026 for pupils' names, sign-in, comments, messages, kept drafts and questions made from a pupil's own work.

From the approved document 03, Privacy notice for pupils. Left out here: the paragraph headed "For the solicitor"; the question for the solicitor at the end of "If something you write suggests you might be struggling".

A privacy notice for pupils. Short version first; the details follow.

The short version

  • If your school gives Delta your name, it is kept so that your advisers see you by name: stored in a scrambled form, shown only inside your school, and deleted with the rest of your information. You also have a username of three words and a label such as A-001, which are what Delta's own records and emails use.
  • Your advisers at school can see everything you enter and every result you see. There is no private part of Delta.
  • Advisers can write comments about your work: some they share with you, some they keep among themselves, and you can ask to see all of them.
  • Your results are ranges, worked out from published admissions figures. They are not predictions and nobody else sees them.
  • If your school has switched on statement feedback, interview practice, the reading log or notes on tasks, what you write or say is sent to an AI service in the EU, to prepare feedback or to check for signs that you might need support. It is not used to train AI, and an adviser reads any feedback before you see it.
  • Before anything is sent, Delta replaces your own name in it with "[name]"; other names you write go as you wrote them, so keep them out.
  • Spoken answers are never recorded by Delta. The sound goes to a transcription service in the EU, becomes text, and is deleted there within seconds.
  • Your information is deleted when your school's time limit ends (usually 12 months after your group was set up), or sooner if your adviser deletes it.
  • Questions or worries? Ask your adviser, or your school's data protection officer. You can also complain to the Information Commissioner's Office (ico.org.uk).

The details

Who is responsible

Your school decides whether you use Delta and is responsible for your information in it. Delta Research Group runs Delta for your school and only uses your information to provide Delta to your school.

Delta Research Group Ltd is registered with the Information Commissioner's Office under registration number ZC270883.

What Delta holds about you

  • A place label (like A-001), a username of three words, and your password, stored in a form nobody can read back.
  • If your school gives them to Delta: your given name and family name, and the name you go by if you have told your school, stored in a scrambled form.
  • What you type in: your year group, grades, admissions test scores, the courses you are thinking about, a few questions about your school and readiness, and later the decisions universities make on your application and how you reply to them.
  • The ranges Delta worked out for you.
  • If your school switched them on: your personal statement answers and the feedback; your interview practice answers (as text) and the feedback; your test practice answers and timings; your reading log (what you read and what it made you think); and any short note you add when you mark a task from your adviser as done.
  • If your school switched them on: your advisers' comments on your work (those shared with you and those kept among your advisers), messages between you and your advisers, the drafts of your personal statement you choose to keep, and the practice interview questions Delta makes from your own work.

Delta never asks for your email address, date of birth, home address, photo or UCAS number. Please do not put them, or anyone's name, in anything you write.

Signing in

You sign in with your username and your password. You never need a phone or an email address to sign in. If you forget your password, your adviser gives you a new code. While you are signed in, Delta keeps when you signed in and a short description of your browser (for example "Chrome on a Mac"), never your internet address. You are signed out after an hour without use, and when you close your browser.

Drafts of your statement you keepNowhere, until you send a draft for feedback.Your drafts, side by side.
Your university decisions and repliesNowhere. Kept inside Delta, and never sent to UCAS.Your offers side by side, and your reply deadline.

If you type a practice essay in test practice, it stays in your own browser and is never sent to Delta, so nobody reads it.

If your school uses interview practice, Delta makes practice questions from the statement you send for feedback and from your reading log: Mistral reads them, with your name taken out, to choose what to ask. You see each question first and can set it aside.

Before your words go to Mistral, Delta replaces your own name in them with "[name]" and takes out any email address or telephone number. The text of a spoken answer has your name replaced in the same way before it goes anywhere else. Other names you write go as you wrote them.

If something you write suggests you might be struggling

Everything you write in Delta, in statement feedback, interview practice, your reading log or a note on a task, is read once for signs that you might need support. If there are any, your school's safeguarding lead is sent your place label, the date and the few words concerned, never the rest of what you wrote, and any feedback waits. Someone at school will then talk to you. This is the same kind of care your school takes in person.

Messages you send your advisers are read in the same way. The email to your safeguarding lead also carries your username and a link that needs a sign-in, and never your name.

Why Delta may use your information

Your school uses your information to support your university application, as part of its education of you: a state school's public task, or an independent or international school's legitimate interests (and, for a school outside the UK, the basis its own law provides).

Your rights

  • See and correct your own details: at any time, on your Delta page.
  • Get a copy, or ask for it to be deleted: ask your adviser. They can delete your place, your statement or one interview attempt straight away.
  • A copy of what Delta holds about you includes your advisers' comments on your work, whether or not they shared them with you.
  • Remove an entry from your reading log yourself, once it has been checked.
  • Object or complain: speak to your school first. You can also complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113. If you live outside the UK, you can also complain to the data protection authority in your own country.

How long it is kept

Until your school's time limit ends, which is 12 months after your group was set up unless your school chose differently, or sooner if your adviser deletes it. Backup copies at Delta's hosting company expire within 7 days, and anything deleted stays deleted even if a backup is ever used.

If your school gave Delta your name, it is scrambled in backups too, and the key that unscrambles it is never kept with them.

Things Delta never does

  • No advertising, no selling of information, and no tracking cookies. The only cookies keep you signed in and protect forms.
  • No messages between pupils, and no public profiles or leaderboards.
  • Messages go only between you and your school's staff: all your advisers and your school's safeguarding lead can read them, and nobody can edit or delete one once it is sent. Messages are not watched in real time. If you need help now, talk to a trusted adult at school, or contact the emergency services.
  • No decision about you. Delta shows ranges; you, your school and the universities make the decisions.
  • No analysis of your voice, accent, emotion or identity.

Age

Delta is meant for pupils aged 16 to 18. It holds no date of birth and does not check age: your school confirms that the pupils it enrols are in that range.

Delta Academic Intelligence

No estimate here is a promise, a guarantee, or advice about where to apply. Decisions rest with the student, their school, and the universities.

Privacy and legal

Delta holds each pupil's name, encrypted, for their own school's advisers alone. It holds no date of birth or contact details.
